Privacy Policy

Effective

greeVenti Events Inc, based in Alberta, Canada, operates greeVenti. This policy explains how we handle personal information through our website and event services, including planning, invitations, registration, ticketing, activities and Eventflow presentations.

For privacy inquiries, contact us at support@greeventi.com.

1. Information we handle

Depending on the features you use, we handle:

  • Account and contact information, including names, email addresses, phone numbers, organization details and connected-account identifiers.
  • Event and participant information, including guest lists, invitations, registration responses, attendance, seating, meal preferences, accessibility requests, feedback and activity responses.
  • Content you upload, create or select, including images, videos, presentations, messages, AI inputs and generated results.
  • Billing, payment and transaction information associated with purchases and payments processed through Stripe.
  • Technical information, including IP addresses, browser and device details, session identifiers, security logs and error information.

Information may come from you, an organizer or team member, a service you authorize, or your use of greeVenti. Organizers are responsible for having the authority and consent needed to provide information about other people, including children, and to share event content.

2. How we use and share information

We use information to create and secure accounts, operate events and requested features, process payments, send invitations and service messages, provide support, investigate errors, prevent misuse and meet legal obligations.

Event information is available to organizers and team members according to their permissions. Information can also be shared with guests, public event visitors, presentation audiences or other recipients through the features and sharing settings used by an organizer. Public content may be copied or retained by people who view it.

We disclose information to service providers for the purposes described below, when you direct us to share it, and where required or permitted for legal obligations, fraud prevention or security. An organizer may have separate privacy responsibilities and practices for its participant records. You can contact the organizer about those records and contact us about our handling of your information.

3. Google connections and presentations

Google sign-in and connecting a Google Slides account are separate features. When you connect Google Slides, we receive your Google account identifier and email address, authorization credentials, and information from presentations you select and authorize. This includes deck identifiers, titles, slide order, page information and rendered slide images.

The Slides connection uses selected-file access. It does not browse your entire Google Drive. We read the selected source presentation to prepare its slides and perform refreshes you request; this process does not edit your source deck. Stored Google refresh tokens are encrypted.

Attaching a presentation saves an event-owned copy of the selected slide images. This copy follows the event's media and display audience, including public live displays. Only attach material you are authorized to share with that audience.

Disconnecting Google removes our stored refresh token and cancels unfinished acquisition work. Disconnecting, revoking access or losing access to the source does not automatically delete approved event copies. Those copies remain available for event playback and follow the retention rules below. Future source access or refreshes require authorization. You can also manage greeVenti's access through your Google account connections.

greeVenti's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including applicable Limited Use requirements. Google API information is used for the authorized features and permitted security or legal purposes. It is not sold to data brokers or used for advertising. These commitments apply to copies and data derived from that information.

4. Service providers and AI features

Our service providers include:

Providers receive information relevant to their service. For example, a messaging provider receives destination details and message content, while an AI provider receives inputs and context for the requested feature. AI features select providers using configured priority and availability. If an attempt fails, a request may be tried with another provider, so its inputs and context may be sent to more than one provider.

The Google Slides acquisition and presentation playback process does not itself require AI processing. Information sent through other AI features is subject to the relevant provider's API terms and data-handling practices; the providers do not all have identical retention rules.

5. International processing

Our primary application hosting is in Ashburn, Virginia, United States. Our selected AWS S3 media-storage and Amazon SES email regions are both Canada (Central), ca-central-1. Selecting a Canadian AWS region does not mean that all information stays in Canada.

Our overseas providers also operate internationally. Hetzner provides support from the European Union. Twilio processes service and account data in the United States and uses international delivery networks. Stripe and Google use international infrastructure and service providers. DeepSeek is operated by a company in China, and use of its services may involve processing there. Anthropic's standard commercial service stores data in the United States and may route processing to other countries, as explained in its processing-location information.

Depending on the provider and service, infrastructure, support and subprocessors may operate in countries including the United States, China, Germany, Ireland, the United Kingdom, Australia, India, Japan and Singapore. The provider disclosures linked above describe additional countries and the services involved. A provider's location list does not mean every request is processed in every listed country.

Information processed outside Canada is subject to applicable foreign laws and may be accessible to courts, law enforcement or public authorities in those countries. Contact us at support@greeventi.com to ask about our policies and practices concerning overseas providers, their purposes and processing locations.

6. Cookies and browser storage

We use cookies and browser storage for sign-in, session security and preferences. Technical logs help us operate the service and investigate errors. Pages that load third-party resources, including maps, payment features or website icons, may send technical request information to those providers, which apply their own privacy practices.

You can restrict cookies and browser storage through your browser settings. Restricting essential storage may affect sign-in and other features. Communication settings and available unsubscribe options let you manage optional messages; necessary event, account and transaction messages may still be sent.

7. Security

We use safeguards including HTTPS connections, application access controls, role and event permissions, and encryption of stored Google refresh tokens. Access depends on the feature and sharing settings involved. No internet service can guarantee absolute security, and content shared publicly can be copied by viewers.

8. Retention and deletion

Retention depends on the information's purpose, the account or shared records it supports, service-provider requirements and applicable legal obligations. We do not apply one deletion deadline to every type of information.

  • Events: completed events are kept until an organizer deletes them. An event's completion does not automatically trigger deletion.
  • Presentations: temporary import jobs normally expire after seven days, with staging-file cleanup handled separately. Approved images may remain referenced by events, templates, run records or draft history. Removing a scene stops playback but does not necessarily immediately purge all retained copies. Copies already obtained by viewers cannot be retracted.
  • Account exports: export requests normally expire seven days after the request; expired export files are scheduled for cleanup.
  • Account deletion: requests start with a 30-day grace period and require confirmation and processing. This is not a promise that every related record is removed on day 30. Anonymized references, shared organization records, financial records and audit information may be retained where appropriate.
  • Operational and AI records: logs, request records and saved AI content follow the needs of the systems and records they support. Provider-side retention is separate from content saved in your greeVenti account or event.

We use the AI providers' standard API settings. OpenAI normally retains abuse-monitoring logs for up to 30 days, with legal and safety exceptions; feature-specific stored data may have separate retention. Anthropic normally deletes standard API inputs and outputs within 30 days, with exceptions for retained features, policy enforcement and law. DeepSeek's terms do not establish the same fixed deadline for all API data, and we do not promise one on its behalf. The linked provider policies explain their current rules.

Contact us to request deletion or ask about a particular record. Legal obligations, shared ownership, security needs and copies held by other parties may affect the records we can remove and when removal is completed.

9. Your choices and privacy requests

You can manage available account and communication settings, disconnect connected services, and request access to or correction of your personal information. You may also ask about exports, deletion, consent withdrawal, sharing and overseas processing. Withdrawing consent may limit features that depend on the information involved.

Send privacy requests and complaints to Privacy Officer, greeVenti Events Inc, at support@greeventi.com. We may need to verify your identity and authority before acting, and legal exceptions may apply. Guests can also contact their event organizer about the organizer's records.

You may contact the Office of the Information and Privacy Commissioner of Alberta or another privacy regulator with jurisdiction about a privacy concern.

10. Policy updates

We will update the effective date when this policy changes. We will provide additional notice or obtain consent where required for material changes or new uses of personal information.
